Dawmly ("we", "us", "our") operates the Dawmly mobile application and web dashboard (collectively, the "Service"). This Privacy Policy explains what information we collect, how we use it, and your rights regarding your data.
1. Information We Collect
Account information
- Full name and email address — provided at registration
- Company / organisation name
- Phone number — provided when upgrading a plan
- Profile photo — optional, uploaded by the user
Attendance and location data
- Precise GPS coordinates recorded at the moment of clock-in and clock-out
- Timestamp, device type, and IP address of each attendance event
- Shift schedules and leave requests created by you or your manager
Usage and technical data
- App version, operating system, and device model
- Feature usage events (pages visited, actions taken) — used to improve the Service
- Error logs — collected when the app crashes or encounters an error
Contact form
The contact form on our website collects your name, email address, optional company name, optional phone number, and message in order to respond to your enquiry. Submissions are stored in our database and emailed to our team. The contact form is protected by Google reCAPTCHA; by submitting the form you acknowledge that Google's Privacy Policy and Terms of Service apply to reCAPTCHA processing.
2. How We Use Your Information
- To provide the Service — recording attendance, processing leave requests, generating reports
- To verify location — GPS coordinates are compared against the workplace geofence defined by your employer to confirm on-site attendance
- To send notifications — email and SMS alerts for clock-in reminders, leave approvals, and account activity
- To improve the Service — aggregated and anonymised usage data helps us fix bugs and prioritise features
- To process plan upgrades — phone number and company details are used by our team to manually activate paid plans
- To comply with legal obligations — we may retain certain records as required by applicable law
3. How We Share Your Information
We do not sell your personal data. We share data only in these limited circumstances:
- Within your organisation — managers and administrators in your company can view the attendance records of the employees they manage
- Service providers — we use third-party infrastructure for email delivery (SMTP) and cloud hosting; these providers process data only on our behalf and under data processing agreements
- Legal requirements — we may disclose data if required by law, court order, or to protect the rights and safety of our users
4. Data Retention
- Attendance records are retained for as long as your organisation's account is active, plus 90 days after account closure
- Profile data is deleted within 30 days of a verified deletion request
- Backup snapshots may retain data for up to 30 additional days
5. Location Data
The Dawmly app requests access to precise location (GPS) only at the moment you clock in or out. We do not track your location continuously in the background. Location data is transmitted over an encrypted connection and stored securely on our servers.
6. Data Security
We protect your data using industry-standard measures including TLS encryption in transit, encrypted storage at rest, and access controls that limit who within our team can access production data. No method of transmission over the internet is 100% secure; we cannot guarantee absolute security.
7. Your Rights
Depending on your location, you may have the right to:
- Access — request a copy of the personal data we hold about you
- Correction — request that inaccurate data be corrected
- Deletion — request that your personal data be deleted (subject to legal retention obligations)
- Portability — receive your data in a machine-readable format
- Objection — object to certain types of processing

8. Children's Privacy
The Service is intended for use in a professional workplace context and is not directed at children under 13. We do not knowingly collect personal data from children.

The "Last updated" date at the top of this page reflects the most recent revision. Continued use of the Service after changes take effect constitutes acceptance of the revised policy.
